Receptionist Full Time

Key Responsibilities:

1. Greeting Visitors: Welcome visitors, clients, and employees with a warm and friendly demeanor, providing assistance and guidance as needed.
2. Answering Phone Calls: Handle incoming calls, route them to the appropriate person or department, and take messages when necessary. Provide information about the organization, its services, and office hours.
3. Managing Front Desk Operations: Maintain a tidy and organized reception area, including keeping the desk clean, stocking supplies, and displaying relevant information or promotional materials.
4. Scheduling Appointments: Schedule appointments, meetings, and conference room bookings, coordinating with internal staff and external clients to ensure availability and logistics.
5. Handling Mail and Deliveries: Sort and distribute incoming mail, packages, and deliveries to the appropriate recipients. Prepare outgoing mail and packages for shipment, including postage and documentation as required.
6. Assisting with Administrative Tasks: Provide administrative support to various departments, including typing, filing, photocopying, and data entry. Assist with preparing documents, reports, and presentations as needed.
7. Maintaining Visitor Records: Maintain visitor logs and records, ensuring accuracy and confidentiality of information. Follow security protocols for visitor check-in and access to the premises.
8. Handling Inquiries and Requests: Respond to inquiries and requests from visitors, clients, and employees in a timely and professional manner. Provide assistance, information, or referrals as appropriate.

Qualifications and Skills:

• High school diploma or equivalent qualification.
• Proven experience in a customer service or administrative role preferred.
• Excellent communication and interpersonal skills, with a courteous and professional demeanor.
• Strong organizational skills and attention to detail to manage multiple tasks and priorities effectively.
• Proficiency in using office equipment, including multi-line phone systems, copiers, and fax machines.
• Familiarity with computer software and applications, such as Microsoft Office suite and email clients.
• Ability to work independently with minimal supervision and as part of a team in a fast-paced environment.
