Front desk Officer Full Time

A Reputed Educational Consultancy is seeking candidates for the post of Front desk Officer.

Basic Job Information:

1. Job Time: 9am – 5:30 pm
2. Location: Bagbazaar, KTM

Key Responsibilities:

• Customer Service Excellence:
• Greet clients, students, and visitors in a courteous and professional manner, providing assistance and information as needed.
• Handle inquiries via phone, email, and in-person, addressing questions, providing guidance, and offering solutions to meet clients’ needs.
• Appointment Scheduling and Coordination:
• Manage the appointment calendar for consultants and counselors, scheduling client meetings, consultations, and follow-up sessions.
• Coordinate appointment logistics, including sending reminders, confirming appointments, and rescheduling as necessary.
• Client Relationship Management:
• Build and maintain positive relationships with clients, students, and parents, serving as a trusted point of contact and resource for educational guidance and support.
• Listen actively to clients’ concerns, questions, and objectives, demonstrating empathy and understanding to address their needs effectively.
• Administrative Support:
• Assist with administrative tasks, including data entry, filing, photocopying, and document preparation, to support the consultancy’s operations.
• Maintain client records, databases, and files accurately and confidentially, ensuring compliance with data protection and privacy regulations.
• Information Management:
• Provide information about educational programs, courses, admissions requirements, and application procedures to clients and students.
• Stay informed about educational trends, institutions, and programs to provide accurate and up-to-date information to clients.
• Office Management:
• Ensure the reception area is clean, organized, and welcoming, with adequate supplies of informational materials, brochures, and promotional materials.
• Monitor and manage incoming and outgoing mail, packages, and deliveries, distributing them to the appropriate recipients promptly.

Qualifications and Skills:

• Bachelor’s degree in Business Administration, Education, or related field preferred.
• Proven experience in customer service, reception, or administrative roles, preferably in an educational or consultancy setting.
• Excellent communication and interpersonal skills, with a friendly and professional demeanor.
• Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple responsibilities effectively.
• Proficiency in using office equipment, including multi-line phone systems, computers, and software applications (e.g., Microsoft Office suite).
